| |
| The detail |
 |
| Normal background
operation: |
 |
| As an email is sent
to your business, a small change in your domain records
tells the sending mail server to first route the email
through MessageStream. |
 |
| We know which emails
to accept, and which to reject. As a MessageStream client,
yours will be accepted by our GateKeeper system, then immediately
processed by multiple virus engines. |
 |
| After
that, your email is passed to SpamAware, MessageStream’s
hyper-accurate spam detection engine. More than
70 intelligent checks are carried out on the email to
determine if it’s
spam or not. Impressively, 97% of the time SpamAware
correctly identifies unsolicited mail, with almost no false
positives. |
 |
| A copy is then taken
of the email and passed into the queue for secure online
monitoring and secure archiving, whilst the original will
be quarantined if spam or virus infected,
or sent on to your awaiting mailserver, then onto your
mailbox. This entire process happens in less than 10 seconds. |
| |
 |
| |
| Emergency
background operation – your network is offline: |
 |
| As above, but your
email cannot be sent to your mailserver because your network
is offline. |
 |
| MessageStream will keep trying
to send the email through to your mailserver for up to
7 days without any embarrassing bounce backs. |
 |
| Your network could
be offline for a prolonged period, so you might want to
switch to the Emergency Email System. From this point,
all mail, and that waiting in the queue, will be redirected
to a hot-standby mailserver located on our network. |
 |
| You have the choice
to connect to the Emergency Email System using POP3 (direct
from Outlook, for instance), or using WebMail access from
a browser. Either way, you, and each of your colleagues,
can send and receive emails as normal during the emergency
situation from your office, or any other location such
as home or temporary offices. |
 |
| Once the emergency
has passed and your network is back online, the Emergency
Email System can be switched back into hot-standby mode,
and emails again routed direct to your mailserver. |
 |
| Any emails handled
during the emergency period can be re-sent back into your
company mailserver if required. |
| |
 |
| |
| Some
typical scenarios to help you understand how MessageStream
can
work in your business… |
 |
- You
are receiving 30 to 40 spam emails per day to most
mailboxes in your business.
You know it can’t continue
and it’s wasting valuable resources, but you’re
too busy install and manage complicated and expensive
anti-spam software. Thankfully, MessageStream takes literally
minutes of your time to set-up – the rest is done
by us. With no changes to your network, MessageStream
immediately starts intercepting each email and removing
the spam before it reaches your business.
|
 |
- You
urgently need to find an email that an employee received
2 years ago.
With MessageStream you have secure
access to all mailboxes, and can use the powerful search
tools to locate the required email. Retrieval of this
email is automatically recorded in the activity log as
a permanent audit trail for your protection.
|
 |
- You
have accidentally deleted a whole week’s worth
of emails from Outlook.
Using MessageStream, you can log in and select a start and an end date, then
MessageStream will automatically deliver these emails back to your inbox.
|
 |
- Your
business premises have flooded and you lose your mailserver,
and the majority of your PCs.
Until you get your network back online, you can switch to our Emergency Email
System which can be accessed by your employees from your temporary offices or
home. Once dried out, and a new server and PCs are installed, you instruct MessageStream
to restore, for instance, the past 6 months of emails back to every mailbox on
your domain. You then switch back to normal service.
|
 |
- You’ve
been tasked with addressing your company’s ‘Business
Continuity’ requirements.
Among other things, you’ve looked at how you can reduce the risk of email
system failure in your business, but any solution appears to be extremely complicated
and expensive to implement. By adopting MessageStream, you can cost-effectively
reduce the risks of email use and email failure, and benefit from emergency systems
to implement in a Disaster Recovery situation.
|
 |
- You
are aware that businesses should have an email policy
in place, one that can be altered easily should circumstances
change.
By using MessageStream, you have full access to the Email Policy Manager, which
allows you to create and distribute your company’s email policy to every
email user. With enforcement tools, you can be sure each employee agrees to the
policy to safeguard the use of email within your business.
